The Challenge

Health Education England (HEE) was searching for a technology solution to help them manage the requirements of their Information Governance Toolkit (IGT). This meant the ability to:

  • Identify all information assets and information flows.
  • Perform risk assessments and implement mitigating actions.
  • Automate the end to end asset lifecycle, from identification through to decommissioning.

These requirements amongst others needed to be realised across multiple locations, teams and include over 700 assets.

The Solution

HEE’s requirements for their IGT meant that as well as using the system to document information assets and information flows, they also needed the system to enable the completion of detailed risk assessments against each asset. This was achieved by configuring CoreStream Information Asset Manager and creating a new risk assessment form to supplement the asset form.

HEE decided to split the project into 2 phases: a Proof of Concept phase to prove that CoreStream Information Asset Manager could meet their requirements (using configuration only i.e. no coding), and then a go-live phase to incorporate any necessary change requests and import HEE’s existing assets into the system.

CoreStream was appointed because of its expertise in delivering tailored information asset management solutions and its ability to deliver solutions at speed.

The Outcome

HEE’s information asset management solution was developed and went live in 8 weeks.

HEE opted for a phased approach to implementation, comprising the following phases:

  • Proof of Concept (3 weeks).
  • HEE testing, sign off and change request prioritisation (3 weeks).
  • Go-live change requests (2 weeks).

CoreStream Information Asset Manager enables HEE to manage the full lifecycle of information assets from drafting and approving assets, through to decommissioning them once they have reached end of life. The risk level of assets and associated flows are automatically calculated to enable targeted intervention and the CoreStream reporting provides useful management information across the organisation.

Information Asset Manager is managing in excess of 700 assets and has more than 350 administrative users who access this intuitive built for purpose technology.
